Event day Early Access for booth set-up on both days. Specific time TBA.
Loading bay access (advance notice required, deadline TBA).
Guaranteed corner placement and placement further from the stage, nearer to the entrance are purchaseable options, which can be added anytime before we begin to finalise the event layout, which is usually approximately 1 month before the event day.
– Adult (18+) materials.
– Deceptive practices (e.g., misrepresenting AI-generated or traced art as original).
– Games with gambling elements (e.g., gacha, mystery boxes) must comply with the Gambling Control Act.
– Risqué or overly revealing displays. Please be mindful that children will be attending the event.
We reserve the right to request removal of inappropriate items. Violation of these guidelines may result in expulsion from the event without refund, blacklisting from future events, and/or a police report being filed.
Policy on AI-Generated Works
While we understand that AI can be a valuable assistive tool for artists and businesses, the sale of products containing visuals that are generated by AI with little or no human intervention is currently not widely accepted by the creative community. Thus, we are unable to permit the sale of such products.
Enforcement Against Sale of Prohibited Content
While we cannot preemptively screen all content, we take reports of prohibited content seriously and investigate them based on provided evidence. This includes products sold at the event and graphics used in booth promotional materials. Reports should include specific details and supporting evidence (e.g., links to original work, image overlays). Those accused of violations may be asked to provide additional information (e.g., work-in-progress files). If investigations cannot be conducted or concluded before the event, they continue after the event, and confirmed violations may result in blacklisting from future events.
Contract and Receipt Issuance
- The payment acknowledgement email will be sent and it confirms the contract between the event and the applicants based on the terms and conditions listed here.
- If needed for accounting purposes, a PDF receipt is available upon request after the completion of payment.
Changing booth categories or adding additional tables and other options after payment confirmation
- Upgrading to a higher-value booth is possible, subject to availability. Please contact us for assistance.
- Applicants cannot downgrade from a booth of a higher value to a booth of a lower value. However, it is possible to transfer your booth to another creator. Please contact us for assistance.
Cancellation, Transfer and Refund Policy
Once your registration is confirmed, cancellations or refunds are generally not permitted.
Cancellations and Refunds for add-ons are not possible.
In exceptional cases, we may make partial refunds for booths if the exhibitor is unable to be present, depending on the amount of lead time running up to the event.
To prevent any losses, you are encouraged to transfer your booth to another eligible individual. Please provide us with the new exhibitor’s information, and we will send you the booth transfer form once the transfer is approved.
In the event of unforeseen circumstances necessitating the postponement of the festival, such as national directives, your booth registration will be automatically transferred to the rescheduled date. This aligns with the protocol established by our event venue concerning rentals, and we appreciate your understanding in this matter.
Transferring or Loaning Exhibitor Passes
Transferring your exhibitor pass to another individual or creator without prior written permission is strictly prohibited.
Loaning your exhibitor pass to anyone for the purpose of granting them entry to the event is strictly prohibited.
Any unauthorised transfer or loan of an exhibitor pass will result in the immediate revocation of access rights for both the pass holder and the recipient. No refunds will be issued in such cases.
Involvement in unauthorised transfer or loaning will lead to blacklisting from future EOY events.
Renting or subletting of booth
You may not rent out or sublet your booth for profit. Any violation of this policy will result in the withdrawal of exhibitor rights without refund, and may lead to being banned from future events.
If you are an exhibitor flying in from outside Singapore to attend EOY, you are required to file an e-Notification with the Ministry of Manpower after arriving in Singapore. This process is for the Ministry’s information purposes only and does not require approval.

Access for Booth Set-Up
Early Access for booth set-up: To be announced. It will be on both mornings of the event days. Set-up before the event day is not permitted.
Booth Set-Up and Safety
Front Setup & Height Limits: The official height limit for your front table setup is 140cm (measured from the ground). You may build higher than this limit, provided your setup is secure and stable. All displays and products must be firmly attached to the table. However, if your setup appears unstable or in danger of toppling, we reserve the right to enforce the strict 140cm limit for safety.
Wall Height Limits: Items placed against the venue walls must not exceed 200cm in height from the ground.
Backings & Frames: Standard booths may not have a display frame or backing behind them. These are only permitted for booths with walls.
Furniture & Space: Please use the provided tables and chairs. You may bring your own additional furniture, but it must remain entirely within your designated booth space.
Tools & Equipment: The use of power tools and ladders is restricted to authorized professionals. Anyone found using this equipment during setup will be instructed to stop immediately.
Damages: Exhibitors are responsible for any charges related to venue damage or adhesive residue removal. Tip: If there is existing damage at your booth space, please inform the event staff before you start setting up to prevent any misunderstandings later.
Safety & Liability: All items must be secured. Any collapse of products or setups resulting in injury to event-goers is the sole liability of the exhibitor. We reserve the right to request the removal of any items that do not adhere to these safety regulations.
Booth Activities
- With the exception of Cosplay and Meet & Greet booths that come with queue space, you must ensure that the walkway in front of your booth is kept clear at all times. You may not have sustained queues stretching beyond your booth lasting more than 5 minutes. Exceeding this time limit will result in additional floor space charges.
- Be considerate of neighbouring booths. You will be asked to stop your activities if they become disruptive.
Maintenance, cleanliness and food
- Do not bring strongly scented food into the event.
- You are responsible for maintaining the cleanliness of your booth area. A cleaning fee of $50 will be charged in the event of any spills.
Booth tear down
You don’t need to pack up your booth at the end of the first day, but you must start packing up your booth by the tear-down time (TBA) on the second day.
Overnight storage of property, loss and damage policy
- Due to the large crowds anticipated throughout the event, take extra precautions for your merchandise and belongings. While our event staff strives to ensure a safe overall environment, they cannot monitor individual booths. We highly recommend not leaving your booth unattended during the event.
- You may store your merchandise overnight at your booth. However, please take all valuables with you, and conceal your merchandise with a tablecloth and/or keep it under the table skirting.
- We are not liable and unable to compensate for any missing, misplaced or damaged items. If you experience any loss, damage, or suspicious activity, we can assist you in contacting venue security to file a report. However, you would need to file a police report yourself.
Price: 50 SGD per pass
Includes: Pre-event early entry for booth set-up and full event access on both days.
How to Purchase: To buy passes after you have submitted your application, email booth@theeoy.com with your booth name and the number of passes you need.
Key Information & Deadlines
Please take a moment to read these key details:
Physical Pass Deadline: To be guaranteed a physical exhibitor pass, please ensure your payment is made by 10 Oct 2026. You can still purchase passes for early access after this date, up to the deadline 20 Dec 2026, but we cannot guarantee a physical pass will be available.
Pre-Event Purchase Required: We currently have no plans to allow the purchase of exhibitor passes at the door, so please purchase any you need online by 20 Dec 2026.
Who Needs a Pass? The exhibitor pass is required for all booth mates and helpers who need to be inside the venue before it opens to the public.
Pass Validity: All exhibitor passes are valid for both days of the event. We do not offer single-day passes.
We reserve the right to modify or amend these terms and conditions as necessary to improve clarity, comply with legal obligations, maintain the integrity of our services, or address unforeseen circumstances.
